Overview
Activate or deactivate user accounts in Unity to control access to the platform. Activating an account enables a user to sign in and use Unity, while deactivating an account immediately revokes access and prevents sign-in.
Use Case: Manage user access when onboarding new team members, temporarily restricting access, or offboarding users who no longer need platform access.
Who Should Use This: Administrators managing user accounts and access control in Unity.
Prerequisites
- [ ] Admin role or higher permissions in Unity
- [ ] Access to the Admin section of Unity
- [ ] User account must already exist in the system
How to Activate or Deactivate a User Account
Step 1: Click Admin in the Left-Side Menu
Navigate to the Admin section where you can manage users, roles, permissions, and account status.
Where to find it: Left-side navigation menu
What you'll see: The Admin section opens, displaying user management options.
Step 2: Click User Management
Open the User Management section to view and manage all user accounts in your organization.
Where to find it: In the Admin section, under the main navigation
What you'll see: A list of all users appears, showing their current status (Active or Inactive).
Step 3: Click the User's Name
Locate the user whose account status you want to change and click their name to open their profile.
Where to find it: In the User Management list
What you'll see: The user's profile page opens, displaying their account information, roles, and current status.
Step 4: Click Edit or the Status Toggle
Open the account status controls to change the user's activation state.
Where to find it: On the user's profile page, typically near the account status indicator or in an Edit section
What you'll see: The account status options appear, showing the current state (Active or Inactive) with options to change it.
Step 5: Select Activate or Deactivate
Choose the desired account status based on whether you want to enable or disable the user's access.
Where to find it: In the account status controls that opened in Step 4
What you'll see:
- To Activate: The status changes to Active, and the user will be able to sign in
- To Deactivate: The status changes to Inactive, and the user's access will be immediately revoked
Step 6: Click Save or Update
Apply the account status change to finalize the activation or deactivation.
Where to find it: On the user profile page, typically a Save, Update, or Confirm button
What you'll see: A confirmation message appears, and the user's status updates in the system. If deactivating, any active sessions are immediately terminated.
Expected Result
The user account status has been updated. Activated users can sign in and access Unity, while deactivated users cannot sign in and any active sessions have been terminated.
You'll know it worked when:
- The user's profile page shows the updated status (Active or Inactive)
- For activation: The user receives access and can sign in immediately
- For deactivation: The user's active sessions are terminated, and they cannot sign in

Checking User Status
- Navigate to Admin > User Management and view the status column to see which users are Active or Inactive
Troubleshooting
Issue: User still has access after deactivation
Solution: Deactivation should immediately revoke sessions. If the user still has access, verify the status change was saved correctly, check for any cached sessions, and ensure the user refreshes their browser or restarts the application.
Issue: Cannot activate a user account
Solution: Verify you have Admin permissions, check that the user account exists and is not locked for other reasons, and ensure there are no system-wide restrictions preventing activation.
Additional Information
- Note: Deactivating a user account immediately terminates all active sessions. The user will be logged out of all devices and platforms (web, desktop, mobile).
- Tip: Before deactivating a user, consider transferring their responsibilities, data, or access to another team member if needed.
- Security: Deactivation is immediate and cannot be undone without reactivating the account. Reactivation restores the user's previous permissions and access levels.
