Invite a New Admin User With Access to Specific Customers

Overview

Invite a teammate to Unity Platform, assign their role, and optionally limit which customers they can access on day one.

Use Case: Add an Admin or other partner user who should start with access to selected customers, while keeping that role as their default for customers you add later.

Who Should Use This: Super Admins and Admins who invite users and assign roles in Unity Platform.

Prerequisites

  • Super Admin or Admin role (User Management and Role Management permissions)

  • Access to Admin in Unity Platform

  • The new user’s name and email address


 

How to Invite a User and Limit Customer Access

 

Step 1: Open Admin

Select Admin in the left sidebar.

Where to find it: Left-side navigation

What you'll see: Admin Settings opens on Team Management.


 

Step 2: Click Invite User

Click Invite User.

Where to find it: Upper right of the Team Management toolbar

What you'll see: The Create User dialog opens. The new user is created on your partner account.


 

Step 3: Enter User Information

Enter the user’s first name, last name, and email.

Where to find it: User Information section in the Create User dialog

What you'll see: The fields accept the invitee’s details. They will receive an invitation email to set up their account.


 

Step 4: Open the Role Dropdown

Open the Role dropdown.

What you'll see: System roles and any custom roles you can assign.


 

Step 5: Select a Role

Select the role for this user, such as Admin.

Where to find it: Role dropdown

What you'll see: The selected role is applied as their default role.


 

Step 6: Turn On Limit to Specific Customers

Turn on Limit to specific customers.

Where to find it: Below the role picker, when the selected role reaches every customer (Admin, Super Admin, Technician, Billing, or a custom role with that reach)

What you'll see: A customer picker appears. Helper text explains that this stays their default role, so customers added later still get it.


 

Step 7: Select the Customers

Select each customer this user should start with, such as a specific client account.

What you'll see: Selected customers are listed. Helper text: “Only these customers start with access.”


 

Step 8: Click Create User

Click Create User.

Where to find it: Bottom of the Create User dialog

What you'll see: A success message that the user was created. Unity Platform sends the invitation email.


 

Expected Result

The new user is on your team with the role you assigned. They start with access only to the customers you selected. That role remains their default, so customers you add later also receive it unless you override them later.

You'll know it worked when: The new member appears in Team Management, and you see the creation success message.


 

Common Tasks

 

Invite a User With Access to Every Customer

  • Follow the same steps, but leave Limit to specific customers off. Partner roles then apply across all current customers.

Troubleshooting

 

Issue: Create User stays disabled

Solution: Complete first name, last name, and email. Select a role. If Limit to specific customers is on, select at least one customer. You also need Role Management permission to assign a role.

Issue: Limit to specific customers is not shown

Solution: That toggle appears for partner users whose selected role reaches every customer. It is hidden for End User and Co-Managed, which already apply only to the home tenant.

Issue: The invitee did not receive email

Solution: Confirm the email address, ask them to check spam, and verify the user appears in Team Management. You can resend or reset access from the user profile if needed.


 

Additional Information

  • Note: Inviting from Admin > Team Management creates a partner user on your organization, not an end user of a single customer.
  • Note: Limiting customers at invite time only controls who they start with. The assigned role stays the default, so new customers added later still receive it. Use a tenant override afterward if a later customer should be excluded.
  • Tip: If this person should manage phone settings in the UCaaS portal, turn on UCaaS Management in the same dialog when that option appears.
