Cytracom UCaaS: Setting up and managing mailboxes

Description

Mailboxes are destinations for voicemails in the system. Each account has an individual mailbox for each extension and a general mailbox by default (999) for the entire account. Additional mailboxes can be set up as needed for departments or groups free of charge.  

Creating a mailbox

1. On the PBX screen in the Cytracom Partner Portal, click the Extensions tab. , then click the + New button.

2. Configure your mailbox settings by filling out the fields on the New Mailbox page.

General Settings:

  • Mailbox number: This can be any telephone number except the extension number. 
  • Name: Assign a mailbox name, which will appear in the directory. 
  • Password: Create a 3-6 digit password for use with this mailbox. Confirm the password in the Confirm Password field. 

Notifications:

  • Email to notify: Enter the email address of the person who should be notified when new mail is received. 

Advanced Settings:

  • Skip Voicemail Instructions: Enable this to let your callers leave voicemails without first requiring them to listen to the prerecorded mailbox instructions. 
  • Hide this mailbox from Directory: Enable this option to prevent the mailbox from appearing in your company phone directory. For example, you may wish to hide executives' mailboxes, or holiday mailboxes, from the general directory.
  • Delete Voicemails: Use this drop-down menu to specify how long voicemails will remain in your mailbox before being deleted. 
  • Timezone: Enter the correct time zone for the phone's location. 

When finished, click Submit.

Checking mail

To dial the mailbox directly, press * followed by the mailbox ID number. For example, to check Mailbox 105, dial *105

  • This option is only available from extension associated with the same account as the mailbox.
  • This option lets any user on an account access any mailbox on that account, if they know the mailbox IDs and associated passwords.
